This policy explains what personal information Belwood & Roe collects when you visit our website, order from us or get in touch, how we use it and the choices you have. We keep it to what we need to make and deliver your furniture and look after you afterwards.
Who we are
Belwood & Roe is the trading name of Belwood and Roe Ltd, a company registered in England and Wales (company number 14168465). Our address is 38 Dewsbury Road, Ossett, West Yorkshire, WF5 9NQ. We are the "controller" of your personal information, which means we decide how it is used and are responsible for looking after it. We are registered with the Information Commissioner’s Office (ICO), registration number C2071890.
If you have any questions about this policy or your information, email [email protected], call 01924 682284 or write to us at the address above.
What we collect and why
| When | What we collect | Why we use it | Legal basis |
|---|---|---|---|
| You place an order | Name, delivery and billing address, email, phone number, what you ordered, your design choices and any notes | To make, deliver and support your furniture, send order updates, and handle returns and guarantee claims | Contract |
| You pay | Payment is handled by our payment providers. We see only the last four digits of your card, the card type and whether the payment went through | To take payment and prevent fraud | Contract and legitimate interests |
| You create an account | Name, email, password (stored as a secure hash, so nobody can read it), addresses and order history | So you can check your orders and check out faster | Contract |
| You send an enquiry or trade enquiry | Name, email, phone, business name and type, and the details you give us | To answer you and give you a quote | Legitimate interests |
| You request samples | Name, email, address, postcode, the unit you're interested in and the samples you chose | To post your samples and follow up on your enquiry | Legitimate interests |
| You email a design from the configurator | The email address you send it to and an optional message. If you tick the box, we get a copy so we can help with your design | To send the design and answer any questions about it | Legitimate interests |
| You send photos of your bathroom | Your name, town, email and the photos | To show your bathroom on our website or social media, with your first name and town | Consent |
| You sign up for emails | Email address, name, and which emails you open or click | To send you news and offers | Consent (or, for customers, soft opt-in) |
| You browse the website | Device, browser, pages viewed, rough location from your IP address, and cookie identifiers | To keep the site secure, see how it is used and, with your consent, measure our advertising | Legitimate interests, or consent for non-essential cookies |
We keep records of orders and payments because the law requires us to (tax and company records), which is a legal obligation.
Saved designs
When you save a design in our configurator, it is stored in your own web browser, not on our systems. A link you share contains only the options you picked, not your name or contact details. We only receive a design if you email it, add it to your basket or order it.
Who we share it with
We never sell your information. We share it only with companies that help us run the business, and only what they need to do their job. Most act on our instructions as our "processors".
| Type of service | What they do for us |
|---|---|
| Various trusted couriers | Deliver your order. They get your name, address, phone number and delivery notes |
| Payment providers | Take card, Apple Pay, Google Pay and pay-later payments, and check for fraud. If you choose to pay later, the provider may run a credit check and acts under its own privacy notice |
| Email service | Sends our marketing emails, if you've agreed to receive them |
| Analytics and advertising services | Show how the website is used and measure our adverts, if you allow these cookies. Our cookie settings, linked at the bottom of every page, name them |
| Accounting software | Holds invoice details |
| Website hosting and security | Host the website on servers in London, protect it from attacks and record your cookie choices |
| Chat services | Provide the chat buttons. If you message us on WhatsApp or Messenger, that service handles the message under its own privacy notice |
| Our IT support and developers | Maintain the website, under confidentiality terms |
We may also share information if the law requires it, for example with HMRC, or to protect our rights in a dispute.
Some of these services are based in the United States or store information there. Where your information leaves the UK, we make sure it is protected, through the UK-US Data Bridge or the contract terms approved by the Information Commissioner.
Cookies
Cookies are small files that a website stores in your browser. We use cookies that the site needs to work, such as keeping items in your basket. We use analytics and advertising cookies only if you agree to them in our cookie banner. You can change your mind at any time using the cookie settings link at the bottom of every page.
How long we keep it
| Information | How long |
|---|---|
| Orders, invoices and payment records | We keep these on file so we can help if you come back to us, check what you ordered, honour our 6-year build guarantee and keep our business records. Tax law requires at least 6 years after the end of the financial year of the order |
| Customer accounts | Until you ask us to close your account. Your order records are then kept as above |
| Enquiries, quotes, sample requests and emailed designs | 2 years after we last heard from you, unless you go on to order |
| Bathroom photos | Until you ask us to remove them |
| Marketing email list | Until you unsubscribe |
| Website analytics | Up to 14 months |
